Transaction Coordinator Responsibilities:
  • Collect contracts, addenda, and disclosures
  • Verify paperwork is complete and all required documents have been fully signed and filled out

  • Uploading all contract paperwork to brokerage compliance
  • Uploading all contract paperwork to agent's favorite storage platform (Dropbox, Google Drive, etc.)

CONTRACT TO CLOSE - BUYER TRANSACTION
$400, Paid at Closing
Agent Responsibilites:
  • Prepare Buyer Broker Agreement
  • Turn in completed Under Contract Checklist to Mountain View Transactions
  • Update Mountain View Transactions on transaction status as changes occur
  • Ensure Mountain View Transactions recieves copies of any Addendum throughout the transaction
  • Attend closing
Transaction Coordinator Responsibilites:
  • Confirm all contract documents are fully executed
  • Facilitate Addenda as needed
  • Prepare Buyer Due Diligence, Wire Fraud Alert Disclosure and Affiliated Business Disclosure for agent if not already prepared
  • Open transaction file in Command
  • Add contract deadlines to agent calendar
  • Email lender and title a copy of the contract documents. Advise BAC% and transaction fee
  • Send introduction email to buyers with copies of contract documents
  • Send introduction email with buyer’s title information to Seller Agent.
  • Request LBPD, SPCD and HOA documents from Sellers Agent, as applicable
  • Arrange Home Inspection date and time and let agent know what is confirmed
  • Facilitate execution of SPCD & LBPD with buyers, provide copy to Seller Agent
  • Obtain Earnest Money receipt and ensure all parties are provided with a copy
  • Email updated Title Commitment to buyers and Seller Agent once received
  • Add Inspection Report to Command
  • Order Home Warranty, if applicable
  • Send Home Warranty coverage email to clients, attach Home Warranty documents
  • Confirm Settlement date with Agent and schedule with buyers and title company
  • Add Settlement to agent calendar
  • Send Utilities email to buyers
  • Create Transaction Document Receipt and facilitate execution
  • Final email to clients to provide agency & contract documents, advise documents receipt will be shared for e-signature, prepare & share doc receipt.
  • Request settlement statements, confirmation of funding & recording, save statements in Command, final submit.
  • Confirm DA documenting commission & TC fee is received.
  • Move Command Opportunity to Closed.
CONTRACT TO CLOSE – LISTING/SELLER TRANSACTION
$400, Paid at Closing
Agent Responsibilities:
  • Turn in completed New Listing Checklist to Mountain View Transactions
  • Once under contract, turn in completed Under Contract Checklist to Mountain View Transactions
  • Update Mountain View Transactions on transaction status as changes occur
  • Ensure Mountain View Transactions receives copies of any Addendum throughout the transaction
  • Attend Closing
Transaction Coordinator Responsibilities:

Listing

  • Open title with title company, confirm seller names for listing docs, order Preliminary PR, plat map & CC&Rs.
  • Prepare and obtain signatures on listing paperwork including Listing Agreement, MLS Input Form, SPCD, Wire Fraud Alert Disclosure and Affiliated Business Disclosure
  • Send introduction email to clients, advise docs to be shared, include Listing Input for review, SPCD for completion and requesting HOA documents, if applicable
  • Create opportunity in Command
  • Obtain HOA items and add to listing and compliance folder.
  • Coordinate home photography appointment, scheduling, calendaring and communicating with seller.
  • Order sign placement if agent uses a service
  • Order keybox installation if agent uses a service (Mountain View Transactions offers this service)
  • Order listing home warranty coverage (free service for your seller with Silverback Home Warranty and/or Landmark Home Warranty)
  • Send "Intro/Pre-list" email to clients, advise docs to be shared, include Listing Input for review & SPCD for completion.
  • Complete listing on MLS, including adding photos and listing remarks
  • Activate listing after agent final review.
  • Send "Live listing" email to clients; providing copies of executed listing docs and preliminary PR.
  • Prepare & process price change forms, if applicable

Under Contract

  • Save contract docs in Command, submit Under Contract folder for compliance review
  • Update MLS to Active or Backup as directed by agent.
  • Send “Under Contract” email to buyer agent including fully signed contract, SPCD/LBPD, HOA documents, Preliminary PR and requesting buyer title info & EM receipt.
  • Send “Under Contract” email to title; contract docs & details, MLS UC listing, commission info, request Updated PR.
  • Send “Under Contract” email to clients, contract docs & details, title copied,
  • Calendar & share contract deadlines with agent.
  • Email Updated PR to clients and buyer agent once received
  • Prepare & process addenda as directed by agent.
  • Coordinate & schedule settlement as directed by agent.
  • Send “Preparing for settlement" email to clients, copy title.
  • Order sign and keybox removal, if applicable.
  • Pre-settlement review of Command file, confirm approval.
  • Final email to clients to provide agency & contract documents, advise documents receipt will be shared for e-signature, prepare & share doc receipt.
  • Request settlement statements, confirmation of funding & recording, save statements in Command, final submit.
  • Confirm DA documenting commission & TC fee is received.
  • Move Command Opportunity to Closed.
